Quick Answer
When your organization moves to DentalOS, everyone signs in through DentalOS instead of directly through individual products, and user and location management moves to DentalOS. Your day-to-day work inside Denticon, Cloud 9, and Apteryx stays the same.
Applies To
Product: DentalOS, Denticon, Cloud 9, Apteryx
Plan: All plans
Role: All users
What Changes
- Everyone signs in through DentalOS. You sign in once and open Denticon, Cloud 9, and other products from the Launchpad. See "Sign in to DentalOS".
- Users are created and deleted in DentalOS. You no longer create or delete users directly in Cloud 9 or Denticon. DentalOS creates or updates the user in the connected products for you.
- Locations are added in DentalOS. Add new locations in DentalOS instead of directly in Denticon or Cloud 9. Location-specific settings are still configured inside each product.
- Security settings are managed in one place. Password, MFA, SSO, and IP Allowlist settings apply to every user in your organization.
- Your organization is set up in organization groups, which Planet DDS configures with you during onboarding.
- To switch products, return to the DentalOS dashboard and open the other product from the Launchpad.
What Stays the Same
- You do your day-to-day work inside Denticon, Cloud 9, and Apteryx the same way as before.
- Detailed permissions inside each product are still managed in that product. DentalOS roles do not replace them.
- Your password does not change when your username is updated.
Your Username Might Change
DentalOS requires every username to be unique across the whole platform. In the past, two different organizations could have the same username. If your username is already in use elsewhere, DentalOS adds a suffix to make it unique, so that a username like "jsmith" becomes "jsmith_" followed by the suffix. If your username is not duplicated, nothing changes and you do not need to do anything.
If You Use Cloud 9: The Username Change Countdown
If your Cloud 9 username is affected, Cloud 9 warns you before the change takes effect. You do not need to do anything until you see the notices.
- Your first two sign-ins after the change is scheduled: a notice counts down the number of sign-ins left and shows your new username. Your current username still works. Write the new username down.
- Your third sign-in: a final warning tells you your new username takes effect the next time you sign in.
- Your fourth sign-in and after: your old username no longer works. Cloud 9 confirms "Your username has changed." Sign in with the new username. Your password stays the same.
| Note: After the change, the Login Name field in Cloud 9 is locked and cannot be edited. Admins can still edit all other employee details. |
If you forget your new username, ask your Cloud 9 administrator. They can find it in Cloud 9 under Edit > Setup > Employees. Open the employee record and select the Login/Permissions tab to see the current Login Name.
Steps for Your First Administrator
- Sign in to DentalOS. Your organization is already set up by Planet DDS.
- Open Manage security settings and configure your password policy, MFA, and SSO (Microsoft Entra), if you use them. See "DentalOS security settings overview".
- Add your locations and choose which products each one uses. See "Add a location in DentalOS".
- Add your staff, assign their role and products, and send their invitations. See "Add a new user in DentalOS".
- Set detailed permissions for each user inside Denticon and Cloud 9. See "Configure product accounts for a new user".
- Confirm that your staff can sign in and reach the products they need.
