Introduction:
Using the Automated Campaigns feature offices can set up registration forms to go out automatically at a predetermined time interval after an appointment is created. This guide will walk you through the process of setting up an appointment campaign with that capability.
Process description:
Users must create a new appointment campaign with an event trigger set to the appointment creation date for either new or existing patients. Additionally, they should verify that the campaign's attached template includes the merge tag to generate a patient specific URL for the patient registration portal.
Prerequisites:
To create a new patient appointment users will need the security right:
"Appointments-Add New Appointment"
To create an appointment campaign users will need the security right:
"Utilities-Automated Campaigns Appointment Campaign Management"
To add/edit a template to use in the campaign users will need the security right:
"Utilities-Automated Campaigns Template Management"
Step-by-step instructions:
- Go to Utilities>Launch>Automated Campaigns.
- Select the option for Appointment Campaigns.
- In the "Event/Trigger" field select the trigger for "Appointment Created Date [New Patient]" or "Appointment Created Date [Existing Patient]"
- Select the mailing list for the appointment campaign.
- Define the timing for each touchpoint, specifying how long after the appointment is created the messaging should be sent.
- Select the template that will go out with the messaging. The template selected should contain the merge tag for the Patient Registration Portal URL. This merge tag will populate a patient specific link to the registration portal once the messaging goes out.
- For SMS templates, click the "Merge Tags" button, then click "URL" and select the option for "Patient Registration".
- For Email templates, choose to enter in text content. Click the "Merge Tags" button, then click "URL" and select the option for "Patient Registration"
- For SMS templates, click the "Merge Tags" button, then click "URL" and select the option for "Patient Registration".
