This is a reference guide for the Summary Report and the Excel Detail Report available in Denticon. Your team can use this guide to best understand how the fields of the Automated Campaign Reports (accessed via Utilities > Launch > Automated Campaigns) are intended to be understood.

Summary Report
How to Generate the Summary Report
After accessing the Utilities > Launch > Automated Campaign.
Select the tab for the type of Campaign you would like to see a report of.
Click the upward arrow icon under the reports header.
Date Range
The Summary Report supports a custom date range, allowing your team members to select any From/To span up to one year in length. This flexibility lets your team review campaign performance over a single week, a month, a quarter, or the full trailing year, depending on their reporting needs.
Event Date vs. Touchpoint Date
Above the date range fields, a radio button lets the choose between two options: Event Date and Touchpoint Date. This selection determines what the From/To range in the filter is actually matched against — it does not change the range itself, only what the report measures that range by.
Event Date (default)
The From/To range filters based on the date of the underlying event the campaign is built around — for example, the patient's recall or appointment date, a birthday, or whatever trigger event the recurring campaign is tied to. This is the default selection when the report is opened.
Touchpoint Date
The From/To range filters based on the date the actual touchpoint (email or SMS) was scheduled or sent to the patient. Because a single event can generate multiple touchpoints — reminders sent at different intervals before or after the event — this option filters on when each individual message went out, rather than on when the underlying event occurred.
In short:
A single event, such as a scheduled recall, can trigger several touchpoints over time. Switching the radio button changes whether the date range is scoped to “when did the event happen” versus “when did each message actually fire.”

What the date range filters on
Event Date (default)
Date of the underlying trigger event (e.g., recall date, appointment date, birthday).
Touchpoint Date
Date each individual email/SMS touchpoint was scheduled or sent.
Report Fields & Definitions
The example below is the Appointment Campaign Summary. For this campaign type, the Event Date radio option is labeled “Appointment Date” since the underlying trigger event is the patient's appointment; the same Event Date / Touchpoint Date logic described above still applies. Every count on this screen reflects only records that fall inside the selected Start/End date range, filtered by whichever radio option (Appointment Date or Touchpoint Date) is selected.
Header Filters:
Campaign / Mailing List: Identifies which campaign or mailing list the report is scoped to (e.g., “copy of all” / “all” indicates every mailing list is included).
Event Type / Appointment Date columns: Optional filters to narrow the report to a specific event type or a specific appointment date, rather than the full range.
Filter Office: Restricts the results to a single office/location; “ALL” includes every office.
Select / Populate: Select applies the chosen filters and refreshes the totals below. Populate loads the underlying record-level list matching the current filters.
Appointment Status & Engagement
Total Appointments Confirmed
Number of appointments in the filtered range that the patient has confirmed.
Total Appointments Cancelled
Number of appointments in the filtered range that were cancelled.
Total Appointments Unconfirmed
Number of appointments in the filtered range that have not yet been confirmed or declined.
Total Emails Opened
Number of campaign emails, within the filtered range, that were opened by the recipient (open-tracking pixel triggered).
Total Appointments
Total count of appointments matched by the current filters — the base population the rest of the report's percentages and counts are drawn from.
Contact Information & Preferences
Total Appointments without Email Address
Appointments where the patient record has no email address on file, so no email touchpoint could be sent.
Total Appointments without Cell Phone
Appointments where the patient record has no cell phone number on file, so no SMS touchpoint could be sent.
Total Appointments with Opted Out of Email
Appointments where the patient has opted out of receiving email communications.
Total Appointments with Opted Out of Cell Phone
Appointments where the patient has opted out of receiving SMS/text communications.
Total Appointments with Flagged Email Address
Appointments where the patient's email address has been flagged (e.g., previously bounced or marked invalid), which can prevent future sends.
Total Appointments with Flagged Cell Phone
Appointments where the patient's cell phone number has been flagged (e.g., previously undeliverable or marked invalid), which can prevent future sends.
Total Appointments with Email Delivered
Appointments where the email touchpoint was successfully delivered to the patient's inbox/mail server.
Total Appointments with Cell Phone Delivered
Appointments where the SMS touchpoint was successfully delivered to the patient's phone/carrier.
Email Delivery Detail
Total Emails Not Delivered
Total number of campaign emails, in the filtered range, that failed to reach the patient — the sum of all bounce and issue categories below.
Bounce (Delivery not authorized, message refused)
The receiving mail server rejected the message outright — delivery was not authorized.
Bounce (Mailbox disabled, not accepting messages)
The recipient's mailbox exists but has been disabled and cannot currently accept messages.
Bounce (Mailbox does not exist or is invalid)
The email address does not correspond to a real, active mailbox on the receiving server.
Bounce (Mailbox full)
The recipient's mailbox is over its storage quota and cannot accept new messages.
Bounce (No answer from host)
The receiving mail server did not respond, so delivery could not be confirmed.
Bounce (Other)
A delivery failure that does not fall into one of the specific bounce categories above.
Bounce (Temporary failure)
A soft bounce — a temporary delivery issue (e.g., server busy or throttling) rather than a permanent failure.
No track found (Email)
No delivery-tracking record was returned for this email, so its outcome is unknown.
Send (Email sent to SMTP server)
The email was successfully handed off to the outbound SMTP server; this confirms transmission, not final inbox delivery.
Other Issues (Email)
Any other email delivery problem that doesn't fit the categories above.
SMS Delivery Detail
Total SMS Not Sent
Total number of campaign text messages, in the filtered range, that failed to send — the sum of the SMS issue categories below.
Carrier Issues
The message failed due to a problem on the recipient's mobile carrier network (e.g., number blocked, unsupported carrier, network rejection).
Other Issues (SMS)
Any other SMS delivery problem that doesn't fit the categories above.
SMS Reported as SPAM
The message was flagged as spam/unwanted by the carrier or recipient, blocking delivery.
No track found (SMS)
No delivery-tracking record was returned for this text message, so its outcome is unknown.
Excel Detail Report
How to Generate the Detail Report
After accessing the Utilities > Launch > Automated Campaign.
Select the tab for the type of Campaign you would like to see a report of.
Click the Excel icon to begin downloading a copy of report.
This report does not have customizable inputs, thus will only provide a copy of report within the Date Range below.
Date Range
Unlike the Summary Report, the Excel Detail Report does not support a custom date range. It always reflects only the most recent two weeks of activity, with no option to select a different From/To window.
As a result, this report exports granular, record-level detail (rather than aggregated summary figures), the fixed two-week window keeps the export focused on recent, actionable activity and keeps file size manageable.
The export is also capped at the latest 100,000 records within that two-week window, and the header shows the practice/tenant name, the report title, and a note confirming the record scope (e.g., “Showing the latest 100k records from last two weeks”).
Column Definitions
Each row in the export represents a single touchpoint (one email or SMS send) rather than a single event, so one appointment can appear multiple times — once per reminder/touchpoint generated for it.
Campaign Name
The campaign or mailing list this touchpoint belongs to (e.g., “Copy of all” indicates the default, all-inclusive mailing list).
Campaign Delivery Date/Time
The date and time this specific touchpoint (email or SMS) was actually delivered/sent to the recipient, including time zone.
Touch Point
The sequence number of this message within the campaign for the underlying event — e.g., 2 or 3 indicates the second or third reminder generated for that appointment.
Delivery Type
The channel used to send this touchpoint: SMS or Email.
Office
The office/location associated with the patient's appointment.
Recipient Type
The relationship of the message recipient to the patient (e.g., “Resp. Party” = responsible party, as opposed to the patient themselves).
PATID/RPID
The unique Patient ID or Responsible Party ID the message was sent for.
Recipient Name
The name of the person who actually received the touchpoint.
Recipient Email/Phone
The specific email address or phone number the touchpoint was sent to.
Event Type
The underlying trigger event category for the campaign (e.g., Appointment Date, recall, birthday).
Event Date
The date/time of the underlying event that triggered the campaign (e.g., the actual appointment date/time) — distinct from when the touchpoint itself was sent.
Operatory
The treatment room/chair the appointment is scheduled in.
Appointment Status
The current status of the underlying appointment (e.g., Confirmed, Unconfirmed, Cancelled) at the time the report was run.
Email/SMS Status Code
A short code summarizing the delivery outcome of this touchpoint (e.g., SENT, NOT SENT).
Email/SMS Status Description
The full text explanation of the status code (e.g., “Delivery — the message was delivered to the recipient's device” or “The message could not be sent”).
Sent
The timestamp the message was actually transmitted out.
Opened
The timestamp the recipient opened the message, if applicable/available (primarily tracked for email).
Clicked
The timestamp the recipient clicked a link within the message, if applicable/available.
Report Header & Footer
Practice/Tenant Name & Report Title
Identifies the practice the export was run for and confirms this is the Appointment Campaign (Email/SMS Tracking Report).
Offices
Shown in the footer; indicates which office(s) the export was filtered to (“ALL” means every office is included).
Printed
The date and time the report/export was generated.
Best Practices:
You can use the Summary Report when a specific or extended date range (up to a year) is needed, choosing Event Date or Touchpoint Date depending on what you want to measure. We recommend that you use the Excel Detail Report when you need line-item, per-touchpoint detail on activity from the last two weeks only.
