Denticon's External Referral- Incoming Feature allows providers outside of the office's organization to digitally enter in a referral form for a patient they are referring to the office. This feature will also send a referral report upon completion of the referred treatment to the referring provider.
Similar to the Patient Portal, Online Registration forms, and AppointNow, the office will have its own unique external referral link that can be embedded on the office's website or shared directly with the office that will be sending the referrals. This link will open up an external site where the referring office will be able to input a referral.
To Access the External Referral-Incoming link:
- Help>Downloads and Links
- Users can copy the embed link to post on website
- Users can copy the direct link to share with referring offices.
Note: When entering in a referral, on the ‘Patient Personal Information’ page, the required fields will match the required fields the office has setup under Setup>Account Info>Advanced>" Required fields"
In order for the provider to receive emails about incoming referrals they will need to have an email address entered in their provider setup:
- Setup>Providers>Provider Setup
- Fill out the field labeled, "Email"
eReferral ID for the External Provider
With the original introduction of the Referral feature into Denticon, the concept of an eReferral ID was created to verify the identity of the dentist who is sending/receiving information. The eReferral ID allows both offices to have a secure and fully digital experience.
When inputting an external referral, the referring provider will be prompted to sign up for an eReferral ID
The office can locate the eReferral ID for a referral source by going to:
- Setup>Referrals>Referrals
- Select the Referral source
- Review the eReferral ID field
Referral Reasons:
This feature introduces a new setup category under Misc Setups named ‘Referral Reasons. When entering in a referral, the referring doctor will be able to input from a list of reasons. Each reason will feature a Code, Specialty, and Description.
To set which referral reasons are available for selection:
- Setup>Misc Setups>Basic>Referral Reasons
Referral Management page: External Referral-Incoming
This feature introduces a new tab on the Referral Management page at Utilities>Referral Management:
External Referral-Incoming Grid
The External-Incoming Grid will display the following information when clicking on the External-Incoming tab:
Add Referral
The button labeled ‘Add Referral’ will allow a Denticon user to manually enter a referral on behalf of an outside dentist. This feature allows for cases where an outside dentist gives the patient a paper referral slip.
Note: In order to send the digital report back to the original dentist, someone from the office will need to contact that dentist and encourage them to take a few minutes to become “e-verified” so that they can receive the final report via the eReferral portal.
Send Referral Report
Once the specialist is ready to report back to the ‘referred by’ dentist, clicking the ‘mail’ icon from the referral grid brings the user to this page. This page allows the office to select whether any Progress Notes or Images from Denticon should be included as part of the report. The Referral Form selection in the upper right corner is a new feature that connects to the Advanced Custom Letter feature. These letters can support embedded images.
To create a new referral form:
- Reports>Advanced Custom Letter
- Click Add New
- Set letter type as "Referral Form"

The following data tags have been created specifically for this feature:
Once the office has completed adding any details that are deemed necessary, clicking the ‘Send Referral Report’ button will trigger an email to the referring provider.
If the Referral Form contains the #PAT_LEDTRAN# data tag, then when the user is completing the referral form letter, Denticon will prompt for a date range and the letter will include ledger items (charges) within that date range.
