Introduction:
When creating a Treatment Plan or Appointment, it is important to ensure that the procedures reflect the correct provider for posting. This guide will walk you through the process of checking a patient's profile to ensure the setup is prepared for the patient's visit and ledger posting after a visit.
Issue description:
- The patient's provider in the Ledger does not match the provider who rendered services.
- When the treatment was planned or posted to the schedule, the provider rendering services today was not listed.
Troubleshooting steps:
-
Patient Overview Provider(s)
- Click the Patient Overview icon (home-shaped icon) to review the patient's details; this screen is usually the default after signing in for the day. This screen can also be accessed from Patient (menu) > Patient Overview.
- Check the Provider and Hygienist fields for accuracy. If you need to make an update for accuracy, click Edit to the right of the Patient Information title (Top-Center of the page).
- Update Provider and Hygienist fields to match the providers who will treat the patient in the future and press Save to confirm.
-
Treatment Plan Provider(s)
- Click the Treatment Plan Entry icon (TX notepad icon) to review the patient's details. This screen can also be accessed from Transactions (menu) > Treatment Plan.
- For procedures already posted, click the hyperlinked date under Diag Date to edit the field for Treating Provider. Remember to press Save to Confirm changes.
- For new procedures, please be sure to select the preferred provider for the Treatment Plan from the drop-downs in the center of screen before posting a new procedure.
- To create a new appointment that preserves the providers selected on the Treatment Plan, click the check boxes on the left of the procedure, then select New Appt to schedule the treatments into a single new appointment with multiple providers attached.
-
Appointment Provider
- Click the Scheduler option in the top left to access existing appointments.
- If you double-click a blank space to add an appointment, the provider on the appointment-version of procedures will overwrite the provider on the Treatment Plan.
- To avoid this, use the steps above under Treatment Plan Provider(s).
- To address an issue in an existing appointment's provider(s) on procedure(s)
- Double left-click an existing appointment to open it and click the check on the left to select a procedure.
- Press Change Provider, then select the Preferred Provider for the service, then press Save on the selection screen and Save on the appointment to confirm.
