Introduction:
Planet DDS understand the importance of automating patient surveys and review requests while ensuring location-specific links are seamlessly integrated. The best approach we recommend is to utilize the Custom URL fields available in the Location Setup → Integration tab. The following guide will walk you through how to set up the custom URL fields and corresponding patient communication templates for both SMS and email campaigns.
Process description:
Users will need to enter in the URL's for their Facebook and Google Review pages into the office setup, then create a template with the data tag for custom URLs.
Prerequisites:
Users will need the security right "Setup-Office Screen Full Control" to enter in the custom URL to the office setup.
Users will need the security right "Utilities-Automated Campaigns Template management" to edit the template to include the data tag.
Gathering materials/resources:
You'll need the URL for the office's Google or Facebook Reviews page before you can enter them in the office setup.
Step-by-step instructions:
- Go to Setup>Offices>Office Setup>Integration.
- In the section for "Patient Communication URLs", note the two fields labeled "Custom URL 1" and "Custom URL 2".
- Click the "Edit Office" button.
- Paste your Facebook and Google Review page URLs in the custom URL field.
- Press Save.
- Go to Utilities>Launch>Automated Campaigns.
- Click the icon for "Templates".
- Choose to either add a new template, or select an existing template to edit.
- The main body of the template include the data tag "Custom URL 1" and/or "Custom URL 2". This data tag is available for both SMS and Email Templates.
Next Steps:
- From Utilities>Launch>Automated Campaigns, click the button for Appointment Campaigns.
- Set the event trigger to "Appointment Date"
- Add touchpoint to go out X amount of time after the appointment.
- Attach the template containing the custom url link that was created following the steps in the above section.
Tips and best practices:
Creating a template using the custom URL data tag, will eliminate the need to create survey campaigns and templates for each unique office. This way, when a patient meets the criteria and a message is sent, the system will dynamically insert the correct review link based on the location the patient's appointment was in.
