When statements are generated and the statements are several pages long, Denticon usually discovers that the office has not been performing regular “Statement Update” functions.
After a batch statement generation has been performed, and the statements have been printed and sent to the Responsible Parties, Denticon advises to finalize the monthly process through the “Statement Update” function.
The Update Statement Dates button in the “Reports / Statements” area:
· locks the financial data for those Responsible Parties who have received a statement
· allows the next statement generation to itemize only the transactions which occurred in the Responsible Party account since the “Last Statement Date”
· the “Last Statement Date” field will be updated, and revealed on the “Reports / Statements” screen
Sometimes, when running Statements, offices choose to eliminate the Update Statement Dates function during statement generation. As a result:
· there will not be a “Statement Sent - $X.XX” line in the Account Ledger screen
· the next statement generation will result in an exponential increase of printed pages
· the office’s financial records are open for financial manipulation and alteration by the office staff, which potentially exposes the dentist-owner to fraud
· the office’s financial reports are subject to incorrect reporting due to transaction manipulation
NOTE: Users are not able to edit or delete any procedure transaction which is dated on or before the “Last Statement Date”
NOTE: The Update Statement Dates function should be done only after the statements are generated and printed
NOTE: The Update Statement Dates function may be done regardless if statements are actually generated for printing and sending to Responsible Party accounts
NOTE: The generated statements may be generated and printed with one date, and the Update Statement Dates function date using a different date. This is done if an office wishes to reveal more than one month’s transaction history on a monthly statement.
NOTE: Statements will generate only to indicate the financial transactions which have been entered in an account since the “Last Statement Date”
