Each one is used to lock the patient Ledger information, to eliminate the ability for users to alter
past financial transactions (treatment, payments, adjustments).
The Update Statement Dates button in the “Reports / Statements” area locks the data for those
Responsible Parties who have received a statement.
Sometimes, when running Statements, offices choose to eliminate the generation of statements
for accounts (i.e., $0.00 or credit balances, collection). As a result, there will not be a “Statement
Sent - $X.XX” line in the Ledger when the Update Statement Dates button in the “Reports /
Statements” area.
The “Setup / Close Out” section locks the data for those Responsible Parties
who have not received a statement.
It is not advised to Close Out or Update Statements (From Reports>Statements) for the current date as that will lock all ledgers (Close Out) or lock all updated statement ledgers (Update Statement Dates) from having further transactions entered for that date of the close out or statement update. For example, when closing out the month, it is best to close out on the first day of the new month, but set the close-out date to the last day of the previous month. This will lock the data from the previous month while allowing you to continue entering currently.
