Introduction:
If you have a patient marked in Denticon with the gender marker "U" for "Unknown" this article is intended to assist you with concerns regarding patients who cannot have X-ray studies attached to claims. Below is a guide to help you make the best decision for your patient if you are using Apteryx or XVWeb with Denticon.
Does your patient have a gender other than Male or Female?
If Yes:
If yes, check the patient's gender in both programs. If it is "Other" in Apteryx and "Unknown" in Denticon, then this guide is for you.
If No:
If it is not "Unknown" in Denticon and "Male" or "Female" in Apteryx, or "Male" or "Female" in Denticon and "Other" in Apteryx, be sure to update both profiles to match the correct gender.
What is the fastest way to attach the X-rays without a "Male" or "Female" gender marker?:
If you need to submit the Claim or Pre-Authorization as soon as possible or the patient does not wish to have their claim submitted as male or female, we recommend Exporting from the XVWeb or Apteryx screen to a local file type, like PNG. This can then be attached to the patient's Pre-Authorization or Claim for submission via the Upload button.
Addressing "Unknown"/"Other" Gender Conflicts via Patient Setups:
In these cases, it is best to consult with your patient whether their insurance would be more likely to approve a claim if their gender was listed as Male or Female. Please be sure to take care when discussing with your patient, as they may find this question distressing. Once they have advised you please take the steps below:
- Navigate to Patient > Patient Information.
- Select their reported preferred gender marker.
- Press Save.
- Access the icon from the toolbar for your Apteryx/XVWeb account where you can edit patient information.
- Select the same gender that was previously used on the patient's Denticon account, either male or female.
- Return to Denticon and select either the Pre-Authorization (Transactions > Pre-Authorization List) or the Claim (Ledger icon > Click the date of the claim to edit it) and attempt to attach the X-ray series.
- The attachment should now be completed and ready for submission.
- Return to both Patient profiles and return the gender markers to "Other" in Apteryx and "Unknown" in Denticon respectively.
