Within the Scheduler, appointments may be marked to indicate the appointment status, most accomplished by the clerical staff:
- Scheduled ... the default appointment status when the appointment is first input on the scheduler
- Left Message ... to indicate that the staff reached out to remind the patient of the appointment, yet was able to only leave a message
- Confirmed ... to indicate that the staff reached out to remind the patient of the appointment, yet was able to reach the patient to confirm the appointment
- Unconfirmed ... to indicate that the staff reached out to remind the patient of the appointment, yet was not able to reach the patient nor able to leave a message
- In Reception ... to indicate that the patient has arrived in the dental office for the appointment
- Available ... to indicate that the patient is ready for the appointment (usually that the clerical staff has completed review and update of the patient's record, to ensure the accuracy of the patient and RP information, as well as the dental insurance plan and patient's remaining benefits)
- In Operatory ... to indicate that the patient is in the clinical operatory, usually indicated by the clinical staff
- Posted ... an automatic icon created when the appointment's completed procedure(s) have been posted from the Treatment Plan (posting is usually done by the clinical staff)
- CHecked Out ... the final step of a patient's appointment, to indicate that the patient has completed the appointment and has been sent home … the text of the appointment will be gray
- Missed ...
- to manually mark that the patient "no showed"
- the text of the appointment will have a line through the text (aka: stricken out)
- no letter change on the "appointment status" icon, but the word "missed" will appear within the patient's appointment history on the patient's overview screen
- since an appointment time in the past cannot be considered to be "replaced" by any other patient, the appointment will remain on the schedule with a line through the text to visually indicated a missed appointment
- Cancelled ...
- to manually mark that a patient has provided prior notification to cancel the appointment
- no letter change on the "appointment status" icon, but the word "cancelled" will appear within the patient's appointment history on the patient's overview screen
- since there is advance notice to release the time for any other patient, the appointment will be removed from the schedule
Other indicators include
-
- Indicates the appointment was created in Appointnow
-
or
- Indicate the Responsible Party type as Insurance or Cash
-
- Indicates a Lab procedure is being tracked
-
- Indicates the patient has a Medical Alert active.
-
- Indicates that this is a New Patient Appointment that is not yet linked to a registered patient
NOTE: The "Delete" appointment option will remove the appointment from the schedule and, per the popup screen message, there is no trace of the appointment in the patient record nor in any appointment report. There is not a way to retrieve a deleted appointment.
