A good way to identify and clear out missed and cancelled appointments is through the call list from the Appointment window:
- From the “Scheduler” menu select the “Call List” option from the drop-down list.
- Enter the date range for the search.
- Indicate other desired criterion.
- If an appointment has been rescheduled or a new appointment has been made for the patient, or if the patient has been removed from the call list, there will not be an entry for that patient’s previously missed or cancelled appointment on this screen.
- To view the appointments that have been removed from the call list, place a checkmark at the box “Show Off Call List.”
- Click the Search button.
- A listing of the matching appointments will appear at the bottom of the screen.
- To reschedule the patient appointment from the call list, click the line of the patient’s appointment. The line will be highlighted.
- Click the Reschedule button.
- Indicate the desired search parameters at the top of the screen. Click the Find Slot button.
- Based on the indicated search parameters, a listing of first-available appointments is returned at the bottom of the screen.
- To view if there are more appointment slots for consideration, click the Next>> button. A user may return to the previous listing of available appointment slots by clicking on the <
- Click on the desired new appointment line, and the Reschedule button.
- The screen will refresh to the Add/Edit Appointment screen, and will show a popup message that indicates that the patient will no longer be included on the Call List when the user clicks the “OK” button.
- Save the rescheduled appointment by clicking the Save button.
Note: Rescheduling a patient’s missed or cancelled appointment from the Call List does not remove the information from the Missed Appointment List report nor the Appointment Cancellation List report, which are obtained through Reports/Appointments Reports. These list reports are a listing to understand the reliability of a patient to attend an appointment.
