Once a claim is created, and the office’s data is locked via a close out and/or statement update, the procedure has limited options for correction.
Option #1 – Change only the tooth number so that the graphic restorative charting team draws the correct completed tooth information
- Access the patient’s ledger
- Edit the procedure by clicking on the treatment date to access the Edit Treatment screen
- Amend the necessary tooth information
- Click the Save button
NOTE: The “Edit Treatment” function will allow an accidental mistake regarding valid tooth number. Example: If the posted procedure is specific to a mouth-area (i.e., anterior vs posterior).
NOTE: The corrected posted procedure will not update nor correct the wrong information on the claim. It is recommended to contact the insurance carrier for advice regarding how to correct the wrong tooth information on the already-submitted claim.
Option #2 – To correct a wrongly posted procedure code, and/or tooth number for a corrected claim
- Access the patient’s ledger
- Edit the procedure by clicking on the treatment date to access the Edit Treatment screen
- Click the Void Transaction button
- Confirm the understanding of subsequent actions in the Ledger appearance and graphic restorative charting screen
- Ensure to review the Ledger to determine the necessary adjustment which should be entered in the “Transactions / Transaction Entry” screen, within the “Payments/Adjustments” area
- Post the procedure to the Ledger
- Edit the procedure by clicking on the treatment date to access the Edit Treatment screen
- Change only the “DoS Date” field
- Click the Save button
NOTE: If the posted procedure is specific to a mouth-area (i.e., anterior vs posterior), and the posted procedure code should be entirely different (i.e., D2330 “Resin Composite One Surface Anterior” should be D2391 “Resin Composite One Surface Posterior”), the incorrect posted procedure should be voided and adjusted so that the ledger may be accurate. NOTE: The edited DoS date will be shown on the newly generated claim, not the Transaction Date.
