There are several steps to mark an account as “Sent to Collection”.
Ensure the collection agency information is entered as a “Collection Agencies” in the Setup>Account Info section.
- From the Patient Overview
- Click the Edit button in the Responsible Party section.
- Ensure a checkmark is in the box at “Send to Collection”.
- Indicate the appropriate agency in the “Collection Agency” field.
- Click Save.
In the Patient Overview Screen
- Click Edit
- Ensure a checkmark is in the box at “No Correspondence”.
- Click Save.
It is advised to enter a procedure code in the patient ledger to track the movement of the account to collection within the Ledger. Ensure a “Z” code is entered in the “Procedure Codes” in the “Setup” section, i.e. Z9999 for Sent to Collections. The fee should be $0.00. Enter the Procedure in the patient’s Ledger.
Note:
The account balance will remain as the full amount owed to the office.
Aging Reports will include the amount due unless a checkmark is placed in the box “Exclude patients sent to collection” at the time the report is generated.
A Statement will be generated for the account unless a checkmark is placed in the box “Exclude patients sent to collection” at the time Statements are generated.
