When there is an office-based discount program for patients, the office should consider to input an insurance plan for usage.
First, input the fee schedule:
- Click the word “Setup”
- Choose the “Fee Schedules” and “Fee Schedule Setup” options from the drop-down list
- Click the Add New Schedule button
- Input the schedule name
- Select the “Ins - Managed Care” type
- Input the office’s discount fees in the “Pat. Pays” column
- Click the Save button
Next, input the insurance plan:
- Click the word “Setup”
- Choose the “Insurance” and “Insurance Plans” options from the drop-down list
- Click the Add New Insurance Plan button

Input the “Plan Setup (Step 1 of 5)” details:
- “Plan Type” = Discount
- Carrier = Click the Add New button to input the office’s name and address
- Employer = Click the Add New button to input the in-house discount plan’s name
- Group No. = Input the in-house discount plan’s name
- “Fees to print on claims” = Actual Charges
- “Claim Options” = Do not Submit a claim
- Input the “Benefits (Step 2 of 5)” details
- Within the “Coverage and Limitation" details, input 0 (zero) for all percentages
- Click the Finish button
Lastly, Assign the Fee Schedule to the Plan
- Click "Setup" and Choose "Fee Schedules" then 'Fee Schedule Assignment"
- To attach a fee schedule to a plan, complete the appropriate plan-specific “Add New” fields at the bottom of the screen, and click the Add button.
The office should consider implementing a Z-code (non-ADA code) which is indicated as recallable for this purpose.
ADA codes which were current at the start of the office’s usage of Denticon are included in the office’s account. Also, additional non-ADA codes (termed Z-codes by Planet DDS) are also included in the office’s account.
The Z-code may be input to the Treatment Plan. By doing so, a “Treatment Plan Status Detail” report may be generated to understand which patients have the code in the Treatment Plan, but have not yet completed the requirement.
From the Treatment Plan screen, the Z-code may be “charged” to the patient when completed, which would integrate for recall tracking and recall reports for the anticipated recall due date.
If an additional Z-code is desired:
- Click the word “Setup” and choose the “Procedure Codes” and “Procedure Codes” options from the drop-down list
- Click the Add New Code button to access the Procedure Code Setup screen
- Input the desired code text description (example: In-Office Dental Plan Membership)
- Input a unique code, led with the Z character (example: Z9999)
- Indicate the desired default recall interval in the “Recall” field
- Retain all other fields as defaulted on the screen
- Click the Save button
If the new code is added, ensure to edit the fee schedule to enter a fee for the office-based plan’s yearly fee at Setup / Fee Schedules / Fee Schedule Setup
