Overview
AI Voice Notes brings intelligent voice technology directly into clinical progress note documentation. Building on the same voice AI platform behind Voice Perio and Voice Restorative charting, AI Voice Notes extends hands-free capability beyond structured charting into the broader world of clinical documentation — progress notes, treatment discussions, and patient observations.
This feature is currently in customer discovery. Planet DDS is talking to practices across Denticon and Cloud 9 to validate use cases and prioritize what gets built first. This article will be updated as the feature moves toward release.
The Problem This Solves
Clinical documentation in dental practices runs into the same friction points across practice types and sizes:
- Notes happen too late. Most providers don't complete progress notes during the appointment — they batch them at lunch, at the end of the day, or later. By then, details have faded.
- Notes don't reflect what actually happened. Under time pressure, providers default to templates and shortcuts. A detailed conversation becomes a generic checked box.
- Manual entry slows providers down. Navigating radio buttons, picklists, and text fields takes time away from patients.
- Staff dependency creates bottlenecks. Relying on assistants to enter notes ties up staff and introduces transcription errors.
- Third-party AI scribes create extra work. Tools that sit outside the PMS require switching apps and manually reconciling notes back into the patient record.
How It Will Work
AI Voice Notes is being built in two phases.
Phase 1: Intelligent Dictation
The provider opens a progress note, activates voice mode, and speaks naturally through the note — describing findings, calling out conditions, noting allergies, and discussing treatment recommendations.
The AI understands the practice's specific progress note template — every radio button, picklist, multi-select, and text field — and maps spoken content into the right fields in real time.
Examples of how speech maps to the note:
- Saying there are no known allergies checks the correct radio button
- Stating an ASA classification selects the matching picklist value
- Describing a chief complaint and treatment recommendation for a specific tooth populates the relevant fields automatically
- A longer discussion of informed consent fills in the corresponding long-form notes section
The provider speaks once, reviews the completed note, adjusts anything as needed, and saves. This will work across both Denticon and Cloud 9, adapting to each practice's unique template configuration.
Phase 2: Ambient Listening
Building on the same template-aware engine, ambient mode will begin listening as soon as the patient sits down in the chair. As the appointment unfolds — the exam, the conversation, the treatment discussion — the AI captures relevant information and routes it into the appropriate progress note fields in real time.
When the provider moves into perio or restorative charting, the voice system will shift seamlessly into the focused charting modes already available through Voice Perio and Voice Restorative.
By the end of the appointment, the progress note will be substantially complete. The AI will highlight any gaps — fields not addressed during the conversation — so the provider can fill them in before saving.
Value for Your Practice
| Benefit | What It Means |
|---|---|
| Faster documentation | Notes are finished before the provider leaves the operatory |
| Better note quality | Documentation reflects what actually happened, not just a template shortcut |
| Improved compliance posture | More complete, accurate notes support better documentation standards |
| More face time with patients | Providers spend less time typing and more time engaged with the patient |
| Native alternative to third-party scribes | No app-switching or manual reconciliation with your PMS |
| Reduced staff dependency | Less reliance on assistants for note entry |
What Makes This Different From Third-Party AI Scribes
Third-party AI scribe tools sit outside your PMS. Providers have to switch between apps, copy and paste content, and manually reconcile the output with the patient chart.
AI Voice Notes is built directly into Denticon and Cloud 9. It reads your practice's actual note template, writes directly to the correct fields, and has access to the patient's existing allergies, medications, and history already in the system — no reconciliation required.
Frequently Asked Questions
Is AI Voice Notes available now? Not yet. The feature is currently in customer discovery. Planet DDS is gathering input from practices to shape what gets built and in what order.
Will this work with my practice's existing progress note template? Yes — by design. The AI is built to understand each practice's specific template configuration, including whatever radio buttons, picklists, multi-selects, and text fields are already in place. No two practices need to set up their templates the same way.
Does this replace Voice Perio or Voice Restorative? No. AI Voice Notes extends the same underlying voice AI platform into progress notes and clinical documentation. Voice Perio and Voice Restorative continue to handle structured charting, and Phase 2 ambient listening will shift seamlessly into those modes when the provider moves into charting.
Will this be available on both Denticon and Cloud 9? Yes. Both phases are being built to work across Denticon and Cloud 9.
How can I provide input on this feature? Planet DDS is actively talking to providers, practice managers, and DSO leaders during the discovery phase. Contact your Planet DDS representative if you'd like to share feedback or participate.
