Overview
Move Patient is a redesigned workflow in Denticon that allows front office and billing staff to change a patient's Responsible Party cleanly and completely. When a patient is moved, their entire history — ledger entries, payments, clinical records, imaging, insurance, treatment plans, appointments, messages, and flash alerts — moves with them. Nothing is left behind or orphaned.
Why it matters:
- Previously, editing a Responsible Party could break data continuity, cause missing records, and create reporting discrepancies that required manual cleanup
- Move Patient eliminates those risks by keeping the full patient record intact through the transfer
What Moves With the Patient
When a patient is moved to a new Responsible Party, all of the following transfer automatically:
- Ledger history (services, payments, adjustments)
- Clinical notes
- Imaging and X-rays
- Insurance information
- Treatment plans
- Appointments
- Contracts
- Messages
- Flash alerts
No data is lost, duplicated, or orphaned during the move.
The Two Move Types
Move to Self
Use this option when a patient should become their own Responsible Party — typically when a dependent ages out of a family account or takes over financial responsibility for their own care.
Move to Existing
Use this option when a patient needs to be linked to a different Responsible Party that already exists in Denticon — for example, when a patient marries, moves to a different household account, or was linked to the wrong party at intake.
How to Move a Patient
Step 1: Open the Patient Record
Navigate to the patient you need to move in Denticon.
Step 2: Access the Move Patient Workflow
Locate the Move Patient option within the patient account management area.
Step 3: Select a Move Type
Choose either Move to Self or Move to Existing depending on the situation.
- If moving to an existing Responsible Party, search for and select the correct party from the list.
Step 4: Review and Confirm
Review the summary of what will be moved before confirming. Verify the destination Responsible Party is correct.
Step 5: Complete the Move
Confirm the action. All patient-linked data will transfer to the new Responsible Party immediately.
When to Use Move Patient
| Situation | Move Type |
|---|---|
| Dependent turns 18 and takes over their own account | Move to Self |
| Patient was linked to wrong Responsible Party at intake | Move to Existing |
| Patient changes insurance or household due to life event | Move to Existing |
| Patient previously on a family account, now self-pay | Move to Self |
Important Notes
- This is Phase 1. Move Patient currently supports moving to an existing Responsible Party or to self. The ability to create a new Responsible Party during the move workflow will be addressed in a future phase.
- The move is immediate. Once confirmed, the transfer cannot be undone through the UI. Verify the destination before completing.
- Reporting is not affected. Ledger entries, payments, and adjustments follow the patient to the new Responsible Party, so historical reports remain accurate.
- Insurance is included. The patient's insurance information moves with them — no need to re-enter coverage after the transfer.
