This article explains the patient visit and activity metrics available in the Denticon Practice Analytics (DPA) Patient Visit Analysis dashboard.
Patient Activity Categories: Active, Danger Zone, and Inactive
DPA segments patients into three activity categories based on their last ledger transaction (visit):
- Active: Patient has had a ledger transaction within the past 12 months.
- Danger Zone: Patient has not been seen in the last 12 months but was seen between 12–24 months ago. These patients are at risk of becoming inactive and are prime candidates for recall outreach.
- Inactive: Patient has had no ledger transactions in the past 24 months, or their last visit date is null.
Production Per Visit
Production Per Visit is the average net production generated each time a patient visits the office.
- Formula: Net Production (Visit Codes only) ÷ Count of Visits
- This metric helps distinguish whether a drop in overall production is due to fewer patient visits or lower value per visit.
Reappointment %
Reappointment % tracks what percentage of patients who had an appointment also scheduled a future appointment at the same office.
- Numerator: Patients with a subsequent appointment scheduled.
- Denominator: Total appointments in the selected date range.
- Patients whose only future appointments are marked as Missed or Cancelled are counted as not reappointed.
- Above 95% = Green | 85–95% = Yellow | Below 85% = Red
New Patient Definition
DPA defines a New Patient as one whose First Visit Date falls within the specified date range. In Morning Huddle specifically, New Patient Exams are appointments containing procedure code D0150 where the patient's First Visit Date is empty.
- Ensure patient records in Denticon have the correct First Visit Date populated.
- Confirm that D0150 is used for new patient comprehensive exams only, to avoid existing patients inadvertently triggering new patient counts.
How to Find Patients Overdue for Recall
- Open the Patient Visit Analysis dashboard.
- Review the Danger Zone patient segment to identify those at risk of becoming inactive.
- Cross-reference with the Hygiene Recall dashboard's Missed Recall Details report for hygiene-specific recall lists.
- Use the Front Office dashboard's Recall Due Report for additional context when utilization is low.
