Introduction
Denticon has a function to batch-move patient appointments from one provider to another, within a particular date range.
Process description
When the office needs to deactivate a provider, they will not be able to if there are any future appointments scheduled under the provider. The tool will allow users to transfer all of a provider's future appointments to another provider. If the office needs to transfer all appointments in a date range to another provider, for example in the case of a maternity leave or vacation, the tool will also let users move future appointments within a specific date range.
Prerequisites
The office should first ensure that the target date and operatory for the move are "clean" of appointments. The function is "all or nothing." This means that all appointments for a specific day in the date range for a specific provider in a specific operatory, will be moved to another specific provider in a specific operatory.
Step-by-step instructions:
To move patient appointments from one provider to another provider:
- Click the word “Utilities”, Copy/Move/Change PGID Setup Data and choose the “Change Future Appointments, Patients, or Tx by Provider ” option from the drop-down box
- Select the Provider and click "Change"
- Select "Move all Future Appointments" (On the next screen you'll have the option to move all appointments or move for a selected date range.
- In the “ From” section:
- Indicate the operatory from which the appointments should be moved
- In the “ To” section:
- Indicate the office to which appointments should be moved
- In the “ From” section:
- Indicate the provider to which the appointments should be moved
- Indicate the operatory to which the appointments should be moved
- Click the "Map Selected Operatories" button
- Enter the Appointment Date Range or the option to Move All Appointments
- Click Review to confirm and Apply the changes.
Tips and best practices:
The “Move Appointments by Provider and Operatory” function does not consider the target provider’s availability regarding days on/off, and or hours on/off. A moved appointment may appear in the target provider’s “off” hours. The office should review the target provider’s schedule to ensure the appropriate placement of moved patient appointments.
Next steps
The move appointments utility does not consider appointments on the same day the utility is ran. For example if the utility to move the appointments is ran on 1/1, any appointments that were assigned to the original provider on 1/1 will not transfer. For these appointments, double clicking the appointment on the scheduler will bring up the edit appointment screen, the user can update the provider and operatory from that screen.
