When the practice experiences an internet outage, we may be unable to bridge to XVCapture, depending on the practice management software and the bridge used, and we will not be able to forward images to XVWeb. However, an internet outage alone does not prevent the ability to capture through XVCapture. This article reviews the recommended workflow for capturing images in XVCapture and how to forward the images to XVWeb after internet service is restored.
Ensuring the XVCapture shortcut is on the desktop:
To be able to use XVCapture during an internet outage, we need to make sure we have a way of accessing it outside of the imaging bridge. We can do this by ensuring we have a shortcut for XVCapture on the Desktop. We will want to ensure all capture stations have access to this shortcut prior to any outages. If the XVCapture shortcut already exists on the Desktop, this section can be skipped.
- Launch XVCapture normally by using the imaging bridge
- Navigate to Advanced User Tools (in the bottom-left corner of the main menu screen) > Preferences > Password: AKRON > Preferences
- Next, navigate to Advanced > Advanced Operations > Create Local Shortcuts
- We should now have an XVCapture shortcut on the desktop.
Capturing an Image:
Now that we can launch XVCapture without needing to use the imaging bridge, we will need to manually input patient information into the "Capture Images" screen. Since we won't have access to the patient information using the bridge, we will need to input all information manually. Below is a screenshot of the required patient information to capture an image:
Though this likely won't be an issue for the first and last name, date of birth, and gender, this will be problematic for the patient ID, if the practice management software is also affected by the internet outage, because this is specific to the patient's chart in the practice management software. To work around the issue, I recommend using the same patient ID (e.g. 123456789) for all patients captured during the outage. This will allow us to easily search for all patients seen during the outage after internet services have been restored, and we are merging images into the correct patient chart. Once all patient information fields have been entered in the "Capture Images" window, we can proceed with capturing images as normal.
Merging Images Captured During the Outage with the Correct Patient Chart:
Once internet services have been restored. We can merge the images captured during the outage into the correct patient chart by editing the patient information for the images captured during the outage to match their respective patient information in the practice management software.
- Login to XVWeb or access XVWeb through the imaging bridge
- Navigate to the “Search” screen
- Search either the patient ID used during the outage or search the patient's name
- Select “View Patient” for the intended patient
- Please note. If a notification appears that multiple patients share the same patient ID, the notification can be safely ignored. Do not follow the prompts to merge the patients through the notification, as this will merge all images captured during the outage into a single patient.

- Select the box with a pencil next to the patient's name in the top-left corner of the window
- Edit the patient information to match the patient information within the practice management software.
- Please note. An easy way of obtaining the patient information from the practice management software is by using the bridge from your practice management software to XVWeb or XVCapture and transferring the bridged patient information into the patient chart created from the outage
- Select confirm. The images will merge into the correct patient chart, and the images should be viewable within the original patient chart within XVWeb.
