Introduction:
Denticon users can now setup Patient Check-in appointment reminders with automated campaigns. Patients can now reply with ‘ARRIVE’ or ‘HERE’ to check-in for their appointments. The feature is available for appointment campaigns with the following triggers:
- Appointment Date
- Appointment by Created Date [New Patient]
- Appointment by Created Date [Existing Patient]
Additional delivery intervals of 15 or 30 minutes have also been added to support touchpoints for patient check ins. The following guide will provide instructions on how to setup and utilize the feature.
Process description:
Users will need to add a new touchpoint to the automated appointment campaigns, or edit templates used in current campaigns to inform the patient to text "Arrived" or "Here" once they have arrived at the office for their appointment.
Prerequisites:
- Site feature "AutomatedCampaign_PatientCheckIn" must be enabled.
Gathering materials/resources:
- To support the creation of effective appointment campaign templates, a keyword information guide has been added directly to the SMS template screen. This guide provides a quick reference to ensure your messages use the keywords recognized by Denticon for automatic appointment status updates.
- A default patient check-in template has been preloaded into the system for your convenience
Step-by-step instructions:
To create a new touchpoint for Patient Check-ins:
- Go to Utilities>Launch>Automated Campaigns
- Select existing Appointment Campaign or create a new campaign
- Select the option to add touchpoint
- Set Delivery Type to Text Message
- Set Delivery Date to how soon before an appointment the message should go out
- Set Template to either the default check-in template, or a custom template with verbiage prompting the patient to reply with one of the accepted keywords for check in.
To edit an existing template:
- Go to Utilities>Launch>Automated Campaigns
- Select the templates button
- Select template you'd like to edit
- Update template to include verbiage prompting the patient to reply with one of the accepted keywords for check in.
- Save
Tips and best practices:
Appointment statuses in Denticon only update automatically when patient responses include specific, recognized keywords. To ensure accurate status updates, we recommend wording your SMS templates in a way that prompts patients to reply using those keywords.
Next steps:
If you note that patients respond with "Arrive", "Arrived", or Here" and the appointment status does not update, please submit a ticket to support asking to verify the "AutomatedCampaign_PatientCheckIn" site feature has been enabled for your office.
