Security Groups will assign permissions to defined groups for users. Each user will have a primary security group but can have more than one that will expand their permissions. To manage security groups, go to Setup - Security - Groups.
The purpose of having security groups is to define what permissions a certain group of users will be able to accomplish or access. This allows for some restriction of access for places certain users shouldn’t be, and grants capabilities to team members who may need to access more within the system.
The permission groups are broken down into major categories, then further defined by individual permissions. Many of the permissions are also broken down in to ‘Full Control’ or ‘View-only’ so that those users who should be able to make modifications.
- Appointments: Add, edit, & delete appointments, certain functions within the scheduler
- Denticon Mobile Access: Determines if a user group will be able to access Denticon on a mobile device
- Denticon Practice Analytics: Control within the DPA system
- EHR: Items in this category are no longer used
- Help & Support: Access to the help portal, invoices and feature requests
- Patient: Most permissions center around functions found in the ‘Patient’ dropdown menu on the main Denticon window
- Reports: Which report categories will be available to the user to run
- Setup: Access to different areas within Setup
- Transactions: Posting services to ledger, payments, claims, treatment planning
- Utilities: Access to different sections of the utilities dropdown menu
.Denticon comes pre-loaded with a selection of pre-defined user groups for common roles within the organization. These groups can be modified to fit the permissions that the group may or may not need, or they can be used as a template to create additional user groups. The pre-defined groups are:
- Administrators: Full access to the system. It is recommended that only a few users within the organization are set up with full access.
- Administrators 2 (Limited Admin Duties): Similar to ‘Administrators’ but has some reduced access when it comes to multi-office activities, some setup and utilities areas.
- Call Center: Duties limited to scheduling, patient accounts and view of certain screens such as the ledger and payment plans
- Clerical: Scheduling, patient accounts, reporting and transactions.
- Clinical: Scheduling, patient accounts, reporting, treatment planning and transactions.
- Office Manager: Scheduling, patient accounts, reporting, setup, treatment planning and transactions.
- Time Clock Only: limited system access and full control to time clock
- VBS-Insurance Department: User group used by the Denticon Practice Services team, which can assist with entry and management of fee schedules and insurance plans.
- New User Groups can be created from existing groups by using the ‘Copy User Group’ button.
- This provides a template of an existing user group and allows the team to modify permissions to grant additional permissions, or reduce existing permissions.
- Locate the desired permission under the ‘Available Rights’ or ‘Assigned Rights’ and use the arrows in the center to move items back and forth until the ‘Assigned Rights’ contain all of the desired permissions for this new group.
- Give the permission set a ‘Group Name’ and then Save.
