Overview
Clients may notice differences between totals on the Income Allocation report and the Payment report. These differences are expected and are related to how and when payments are allocated in Denticon.
Why the Totals May Not Match
The two reports measure different types of financial activity as follows:

Payment Report:
- Displays all payments received during the selected date range.

Income Allocation Report:
- Displays payments only after they are allocated to completed procedures, which may occur in a different reporting period.
As a result of this timing difference, totals between the two reports may not align exactly.
Common Causes of Differences
- Payments or prepayments collected in an earlier period may not allocate until the procedure is completed in a later period.
- Backdated payments appear on reports based on the date they were entered, not the backdated transaction date.
- Payments entered after a reporting period (even if backdated) will not appear on the Income Allocation report for that earlier period.
- Account reallocations or adjustments can change report totals after reports have already been run.
Basic Troubleshooting Steps
- Ensure both reports were run at the same time.
- Keep in mind that the Income Allocation report is a live report and updates as transactions are entered, reallocated, or adjusted.
Advanced Troubleshooting Steps
Check for account reallocations:
Navigate to Patient > Reallocate Account
Run the Reallocation Report
Select Completed/Cancelled and match the date range to the report
Review for reallocations that could affect balances
2. Review Reports > Monthly > Income Allocation – Details to identify:
- Payments made outside the report date range but allocated within it
- Backdated payments
Best Practices
- Always run reports after all transactions for the period are finalized.
- For the most accurate results, run the Income Allocation report for all offices and review the grand totals, especially if providers work across multiple offices under the same PGID.
Summary
Differences between the Income Allocation and Payment reports are normal and are caused by timing, allocation rules, and transaction activity. These reports should not be directly compared, as they represent different aspects of financial reporting in Denticon.
