General Guidance
Imaging conversions are done in two stages: Initial imaging conversion and Final Differential imaging conversion.
Initial. migrate the bulk of the images and associated patient data to Apteryx imaging products from the source system
Final Differential. migrate the images and associated patient data from the start date of the initial conversion to the date of the final differential conversion.
Data Mapping - Converted patients will retain the old imaging system’s patient ID, name, DOB, and gender until after the final differential conversion. Data Mapping will be performed after the final differential is completed and will attempt to update the ID and other patient information to match the office’s current Practice Management System. If not bridged or bridge was not set up to include First Name, Last Name, Birthdate, ID then patient ID mapping may not be possible. The conversion technician should be able to advise on this during the initial conversion.
Multiple Imaging Systems -
If a customer has multiple source imaging systems on the same server, the conversions should be scheduled as a single 180-minute appointment.
If a customer has multiple source imaging systems on different servers AND/OR with different technical points of contact, the conversions should be scheduled as two separate 90-minute appointments.
Full / Final Image Conversions - The following systems can have a single (FULL/Final) conversion with data mapping; however, skipping the initial conversion should be a rare exception. Exceptions must be approved by the conversion program manager.

Timeline Expectations - Please be sure to leave enough time for the initial conversion to complete when setting the appointment for the final differential conversion.
Initial Conversion Timeline. Images are typically available two weeks after the start of the initial conversion. This varies with database size and upload speed. Because of this, larger systems can take longer.
Final Conversion Timeline. If it has been less than 3 months since initial conversion, differential images are typically available 2-3 business days from the start of the final conversion.
Things to consider. Technical issues will also delay the conversion’s progress.

3D Imaging Conversions
3D source systems that we can currently convert:
Other 3D Systems - For 3D systems not on our list, we may be able to manually upload their data directly to Apteryx without conversion, if it's already in DICOM format. The conversion technician can determine if the images can be uploaded once connected to the server. If they can't be uploaded, the final option is to work with our support team on the process for using the CT Importer tool in XVCapture. These manual processes do not have a standard timeline.
Special Considerations
The following image conversions have special circumstances that will need to be considered during the planning and scheduling process.
Systems that can sometimes have issues or delays occur and may change the timeline or ability to complete conversions include:

Vixwin – CT issues
Cloud-based imaging systems require the customer to contact them and request a download link to download a full copy of their imaging data, including patient tables and image folders. These include:

Curve Dental – specific requirements to be provided by client (PDDS cannot begin conversion without all the below information in hand prior to the scheduled start time):
The customer must request a download link from Curve, which will be provided as a password-protected zip file. The customer must provide us with the link, as well as the password that was given to them, typically in the format “HERO-#####”
The customer must also provide us with their Curve Hero website URL, and the username and password to login to Curve. The user account must have administrator privileges.

Dentrix Ascend
The customer must provide a download link from Henry Schein, along with the username/password to login to the Henry Schein, and the password to unzip the downloaded zip file.
Mediadent / Greenway Health
MOGO Azure
MacPractice conversions will require the customer to create a new backup of their MacPractice database. We will then connect to their MacPractice server, download the backup, and convert the data in-house. Depending on the customer’s timeline, it may be necessary to run one single full conversion after their go-live.
Dolphin Imaging requires the customer or IT staff to contact Dolphin support, and request that they change the database password for their SQL Server system administrator (“sa”) account, or provide another username/password to connect to the database. These changes may prevent the staff from accessing Dolphin Imaging, so it may be necessary to schedule a single full conversion after go-live.

We are generally able to convert from the following systems.
NOTE: Please confirm that the customer is using the actual imaging software listed below, and not just a capture hardware with the same name, or a different software made by the same company. For example, a customer may have Dexis sensors, but are not using Dexis software, or they may be using a different unsupported software that is made by the same company as Dexis.
* Carestream and Vixwin note: We can convert Standalone if no bridge is set up from their Practice Management system. If bridged to Dentrix, Eaglesoft, Open Dental, PracticeWorks, or Softdent PDDS will not need additional information from the client or implementation coordinator. If bridged to different PMS than the ones previously listed, the customer will need to request an .xlsx or .csv spreadsheet from the PMS support with the following in separate fields/columns: First Name, Last Name, Birthdate, Gender, ID number that was bridged with Carestream / Vixwin.
