Sometimes Apteryx will receive a report from an AI Vendor or customer that images are taking too long to forward to the AI Vendor. If a discrepancy between the time images were captured vs. the time the AI Vendor reports receiving the images from Apteryx is noticed, the most common cause is the amount of time the user taking the images stayed on the Progression Capture window after taking the images in XVCapture:
In order for AI results to appear for a particular image, or for that image to appear in the AI vendor's standalone platform, the image must first exist within Apteryx. Images do not forward from XVCapture to Apteryx until the user has clicked "Done" within the Progression Capture window.
This means images do not immediately forward to Apteryx the moment they are captured in a progression in XVCapture, but rather are forwarded after the progression has been completed and "Done" has been selected. This is what accounts for the discrepancy between the Acquisition Datetime in the image's metadata vs the time received within the logs from the AI Vendor.
For example, if it takes 5-7 minutes to complete a progression for a patient and select "Done," this also means it took 5-7 minutes for the first image in XVCapture to forward to Apteryx, so AI results would not be processed until after ALL images have been captured and successfully forward.
Additionally, if the user captures a progression but did not click "Done" immediately after the progression was completed, the images would not have forwarded to Apteryx during the time the Progression Capture window was left open, resulting in a delay in the images being forwarded to Apteryx. As the images had not forwarded to Apteryx in that time period, AI results will also be delayed until those images have all successfully forwarded to the web, as they must be stored in the web for AI results to become available.
After clicking "Done" in the Progression Capture window in Apteryx, you will see XVCapture cycle from "idle," to "Preparing to send," to "forwarding images," then back to "idle" again. This can be monitored in the bottom-right corner of XVCapture, as shown below:
Once the Progression has been completed, and the Forwarding Status displays "Idle" again, this indicates all images within the captured progression have successfully forwarded to Apteryx. At this point, Apteryx will automatically forward those images to the AI vendor, where they are then processed. Once processing is complete, AI results will then display.
How to correctly troubleshoot delayed results from an AI Vendor
The correct way to troubleshoot this is to compare the Requested and Received datetimes on the AI popout in Apteryx's UI. Navigate to this article and locate the AI results not appearing on recently captured images section for more details: Controlling Automatic AI Findings Display – Apteryx
