Introduction:
Occasionally, you may need to review a patient's statement. This guide provides the essential steps to easily access their statement history.
Process description:
To review a record of statements sent, users must access the patient's ledger. From there, they can open the statement to examine the billed items as well as the address the statement was sent to and the link that was sent to the payment portal.
Prerequisites:
Users must have the security access to view the ledger. This is granted by either the "Transactions- Patient Ledger View Only" or "Transactions-Patient Ledger Screen Full Control" security rights.
Step-by-step instructions:
- Search for and select the patient whose statement you'd like to review.
- Navigate to the ledger.
- A record of statements sent will appear in chronological order on the ledger. The line-item description will read "Statement (Type of statement sent: Paper, Email, or Paper &Email)".
- Click on the blue hyperlink for the date of the statement.
- A pop-up window will appear with the date of the statement, the Responsible Party's name and email address, the aging balance details, and the Payment Portal link that was sent.
Tips and best practices:
After batch statement generation, statements are printed and sent to Responsible Parties. Denticon then updates the Statement Date, locking financial data to ensure that future statements itemize only transactions recorded since the 'Last Statement Date.'
When reviewing a previously sent statement via the print reports icon in the Denticon toolbar, selecting 'Print Statement' will generate a statement displaying the 'Last Statement Balance,' the statement date, and the total amount—provided no new aging charges have been posted since the statement update. Line-item details for aging charges that occurred before the update will not be included.
