Insurance payments are applied to patient’s specific procedure(s) on a claim. Care should be taken when the procedure is posted in order to ensure that the correct provider is associated with the completed procedure. Provided that the correct provider is associated to the posted procedure, the correct payment will be applied to the correct provider.
Denticon is programmed to apply patient-received payments “first in-first out,” or FIFO. When a patient-received payment is entered and allowed to remain as “Apply to Responsible Party,” the payment will allocate to the oldest aging item on the account, no matter the active patient on the screen. This action assures that the payment automatically applies to:
- oldest known procedure due in the account
- patient who holds the oldest known procedure due
- provider who holds the oldest known procedure due
Adjustments are specific to the intended situation. Using these rules, care should be taken in order to apply a single adjustment to the proper entity:
- Patient
- Provider
- Location/Office
NOTE: Payments are allocated only on the date of transaction entry (aka: Created Date of the transaction). Even though the system allows a user to modify the transaction date, the date of service, or the payment date, the allocation date is hard-programmed to be the system-captured creation date. The hard-programmed creation date is for data integrity. Example: if a user back dates a payment, the system will allocate that payment as if it was dated today. The system does not reallocate all the allocations because of a back dated transaction
